We are currently seeking an experienced, full-time Conference Services Manager to start late October. Schedule is typically Monday through Friday, but requires flexibility based on events schedule.  Manager is required to be on site for most group events so often evenings and weekends are required. 

Responsible for coordination of all group related business generated by the Group Sales Department. Act as major group contact from start to finish of each program to ensure complete guest satisfaction.

Responsibilities:

  • Act as a liaison between the sales and operations department of the hotel to ensure a successful event for the clients and all of the client's needs are met and communicated accurately and efficiently to all departments of the hotel.
  • Responsible for obtaining all direct bill and credit approvals of groups arriving at the property, as well as securing signatures and approval for all Banquet Event Orders.
  • Responsible for the review of all bills that are sent to the client. In reviewing bills, they should be accurate and timely in order to maximize return business. Also responsible for sending final bill to client and to accounting.
  • Compile all Banquet Event Orders and group resumes as well as compile all banquet checks for each group while at the hotel.
  • The Conference Services Manager will work with the Group Sales coordinator to ensure completion of room lists, rate checks, SMS charge routing and final billing as well as completing group resumes.
  • The Conference Services Manager will be responsible for the compilation of all cancellation/attrition charges of their groups.
  • Schedule group recreational activities; including restaurant reservations, golf, rafting, jeep tours, fly fishing, ballooning, snowmobiling, lift tickets, ski lessons, and to schedule adequate transportation as needed to transport guests to activities and restaurants. Act as a liaison between client and DMC's when applicable.
  • Check meetings and functions for timely and accurate execution.
  • Work with the DOCCS to generate a weekly forecast of meeting and catering revenues.
  • Assist client with all Food & Beverage requirements: up selling, recommendations & menu planning. Extensive F&B knowledge is expected.
  • Coordinate all audiovisual requirements of the client with our 3rd party vendors and assist client with all Food & Beverage requirements: up selling, recommendations & menu planning. Extensive F&B knowledge is expected.

  • Coordinate and lead client pre-cons with staff when applicable.
  • Participate in weekly sales meetings and operations meetings to communicate the upcoming group's
  • Keep updated knowledge of all meeting spaces and capacities to ensure clients and colleagues' needs are best met while maximizing revenue.
  • Keep accurate records in Delphi about all client's experiences and preferences for future use as well as updated information about each booking event within their stay at the Sonnenalp.
  • Cover events when requested, which may include evenings, weekends and holidays.
  • Responsible for achieving group conference services  

Qualifications:

  • Minimum of two years experience in Conference Services in a hotel environment required
  • College degree in Hospitality or Event Management preferred
  • Knowledgeable of all resort operations
  • Proficient with MS Office and Outlook required
  • Prior experience with Delphi or SMS preferred
  • Detail oriented and highly organized
  • Excellent guest service skills and phone skills
